Office Administrator

Our company is looking for a Temporary Administrative Assistant to complete general office administration duties. This is a short-term assignment, so you must be willing to commit to the entire duration. Our ideal candidate can complete data entry, scanning, and invoicing tasks, make travel arrangements, organize file systems, and answer phones in a timely and professional manner. Having a post-secondary certificate or degree in business administration or a related subject is a plus, but it is not required. We do expect you to have strong typing and organizational skills. Location: Mississauga, Ontario Temporary Administrative Assistant Duties and Responsibilities
  • Coordinate the processing of all types of incoming and outgoing mail, freight deliveries, bulk mailings, pickups, and deliveries
  • Perform clerical duties such as manual filing, electronic filing, record keeping, photocopy, faxing, mail distribution, courier pick-up, and delivery
  • Respond to email, telephone or face to face enquiries
  • Provide support for meetings and conference room reservations as needed and directed
  • Respond to facility request tickets to determine best course of action and completed tasks in a cost effective and timely manner
  • Assist with the coordination and scheduling of maintenance activities
  • Manage all client services request/quotes using Corrigo Pro facility management software to maintain smoothly operated, organized, and safe work environment
  • Develop and maintain vendor, landlord and property management relations for properties in portfolio
  • Support interoffice moves and relocations
  • Order and maintain kitchen supplies and stock
  • Manage internal record-keeping systems using spreadsheet
  • Provide excellent customer service to all customers and ensure accurate information is given
Temporary Administrative Assistant Requirements and Qualifications
  • High school diploma or GED certificate
  • Proficiency in Outlook and related Microsoft Office programs
  • Ability to adapt to various office environments
  • Typing skills
  • Attention to detail
